Moon Distributors operates moondistributors.co, a wholesale distribution website for business customers. In this policy, "we", "us" and "our" mean Moon Distributors.

What we collect

We only collect information you choose to give us. Specifically:

Wholesale account applications

• Your name, business name, email address and phone number
• Your business address, city, state, ZIP and country
• Your website, business type, years trading and sales channel
• Category of interest and expected monthly order volume
• Documents you upload: resale certificate, seller's permit, business license
• Any additional information you write in the form

Contact and quote requests

• Your name, business name, email address and phone number
• The product and quantity you are asking about
• Your delivery ZIP, if you provide one
• The content of your message

Technical information

When you submit a form we record your IP address alongside the submission. This is used to limit automated abuse of our forms and for nothing else.

What we do not collect

This website does not use advertising cookies, analytics trackers, social media pixels or third-party marketing tools. We do not build behavioral profiles and we do not track you across other websites.

The only cookie this site sets is a session cookie, which keeps your form entries and security token intact while you are filling in a form. It expires when you close your browser and contains no personal information.

We do not collect payment card details through this website.

Why we use it

• To verify that you are a registered business eligible to buy at wholesale
• To answer your questions and prepare quotes
• To process and deliver orders you place
• To meet our record-keeping and tax obligations

How we store and protect it

Documents you upload are stored on our server outside the public web directory's reach, with randomly generated filenames rather than the ones you uploaded, in a directory configured to refuse to execute any file it contains.

Form submissions are validated server-side, protected against cross-site request forgery, and every file upload is checked by reading its actual contents rather than trusting what your browser claims it is.

No system is perfectly secure, and we will not claim otherwise. We apply reasonable technical and organizational measures appropriate to the sensitivity of what we hold.

How long we keep it

• Approved accounts: for the life of the business relationship, and afterwards as long as tax and record-keeping rules require
• Declined or abandoned applications: generally no more than 24 months
• Contact and quote inquiries: generally no more than 24 months
• Resale documentation: as long as required to evidence tax-exempt sales

Your rights

Depending on where you are, you may have the right to:

• Ask what personal information we hold about you
• Ask us to correct anything inaccurate
• Ask us to delete it, where we are not required to keep it
• Ask for a copy in a portable format
• Object to it being used for marketing

Children

This is a business-to-business service. It is not directed at children and we do not knowingly collect information from anyone under 18.
